Privacy Policy

This Privacy Policy explains how Celpip.me (“we”, “us”, “our”) collects, uses, and protects your personal information when you use our website and services. We are committed to handling your data responsibly and in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

  • Account information: your name, email address, and password (stored in encrypted form).
  • Practice data: your answers, submissions, scores, progress, streaks, and study activity.
  • Writing and Speaking submissions: the text you write and the audio you record for evaluation.
  • Payment information: processed securely by our payment provider, Square. We receive confirmation of your purchase but do not store your full card number.
  • Technical data: your IP address and the approximate location derived from it (city and country), browser, operating system and device type, screen size, language and time-zone settings, sign-in times, and how you arrived at the site (the referring page and any campaign tags in the link). We keep this to keep the Service secure, to understand where our learners come from, and to improve the Service.

2. How we use your information

  • To create and manage your account and provide the Service;
  • To grade your practice, generate feedback, and track your progress;
  • To process payments and provide access to paid plans;
  • To send you essential account emails (for example, email verification and password resets);
  • To maintain security, prevent abuse, and improve the Service.

3. Automated evaluation

To provide Smart Evaluation on Writing and Speaking, your submission may be sent to a third-party AI processing provider that returns a score estimate and feedback. We share only what is needed to evaluate your submission. We do not sell your submissions, and they are not used to identify you publicly.

4. Service providers we share data with

We share limited data with trusted providers who help us run the Service, including:

  • Square — payment processing (Stripe processed payments made before September 2026);
  • Our hosting and email-delivery providers — to operate the platform and send account emails;
  • An AI evaluation provider — to generate feedback on your Writing and Speaking.

These providers may process data outside Canada. We do not sell your personal information to anyone.

5. Data retention

We keep your information for as long as your account is active and as needed to provide the Service. If you ask us to delete your account, we will remove your personal information, except where we must retain limited records (such as payment records) to meet legal obligations.

6. Security

We use reasonable technical and organizational safeguards — including encryption in transit and hashed passwords — to protect your information. No method of transmission or storage is completely secure, but we work to protect your data and respond promptly to any issues.

7. Your rights

You may request access to, correction of, or deletion of your personal information at any time by emailing us. You may also update your account details from your settings.

8. Cookies

We use essential cookies to keep you signed in and to keep the Service secure. We do not use advertising-tracking cookies.

We also measure how the Service is used with our own first-party analytics: a cookie holding a random visitor identifier (kept for 13 months), the pages you open and how long you stay on them, your IP address and the approximate city it resolves to, your browser and device type, and the page that referred you. This data is processed on our own servers, is never shared with advertising networks, and is used only to understand and improve the Service. You can ask us to delete it from the contact page.

To find out where the Service is confusing or broken, we also record how a page was used: which buttons were pressed, where the pointer moved, where you scrolled, how long an answer was worked on before it was submitted, and when a limit or an error was reached. These recordings are wireframes of the interaction — they never capture the content of the page, the text you type, your answers, your email address or anything you search for. They are kept for 30 days and then deleted automatically, are visible only to our own staff, and are never shared. You can ask us to exclude your account from recording, or to delete existing ones, from the contact page.

Recordings never include the sign-in, sign-up, password-reset or checkout pages. When you write an answer, we also count how many characters were typed versus pasted and the pace of typing, so that a teacher or our staff can tell a genuine attempt from a pasted one; the text itself is not captured by this measurement, only counts. During a mock exam we note how many times the exam tab was left and for how long. These figures are shown to a person and are never used to block or penalise you automatically.

We keep a random identifier in your browser so that we can recognise the same browser again; it is not a fingerprint of your device and it is forgotten when you clear the site's data. We use it to detect several accounts sharing one free allowance. We also keep a record of failed sign-in attempts and password resets to protect your account, and we check the network an address belongs to against public lists of VPN, proxy and hosting ranges; the result is shown to our staff as a signal and is never used to refuse access on its own.

Emails we send contain a tiny image and rewritten links that tell us whether the email was opened and which link was followed, so that we know whether an important notice reached you. Mail apps that block images defeat the open count, and that is fine.

Retention: interaction recordings are deleted after 30 days; sign-in records, analytics events and email delivery records after 12 months; your practice work and scores for as long as your account exists. You may ask for a copy of everything we hold about you, or for its deletion, from the contact page, and we answer within 30 days.

9. Children

The Service is intended for adults preparing for the CELPIP test and is not directed at children. We do not knowingly collect information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above.
